Your account and responsibility
You must be an adult authorized to act for your organization. Keep account credentials private. You are responsible for the accuracy, authority, recipient consent and lawful use of the records you create. You retain rights to your content and authorize the processing needed to provide the service.
Do not impersonate an organization, issue false qualifications, misuse another party’s trademarks, upload malicious content, send unsolicited bulk messages, or submit minors’ records or sensitive identity/medical/financial information. We may suspend abusive activity and withdraw misleading or unlawful records.
What verification means
A record check shows the training provider’s saved record and current status. It does not independently confirm identity, attendance, skills, licensing, accreditation or quality. You make the completion decision. Do not describe CohortMark as an accrediting body.
Plans and payment
Starter includes 25 certificates and ten certificate notification emails in total, two saved templates and three courses. Studio costs CAD $19.99 per month and renews monthly until cancelled. It includes 300 new certificates and 100 certificate notification emails each calendar month (UTC), 20 templates and 100 courses. Unused monthly allowances do not roll over. No automatic overage charge is applied. Corrections to an existing record do not use another certificate credit.
Subscriptions currently serve Canadian customers. Confirm that your billing address is in Canada before purchasing. We are not currently collecting GST/HST, based on our present registration status. Your checkout displays the amount before you confirm payment. Future changes to pricing or tax will be communicated before they apply.
Stripe handles checkout and recurring billing. Cancel in the customer portal from Billing at any time; access continues until the paid period ends. There is no annual commitment. After cancellation, the account returns to Starter and its original remaining allowance. Paid-period limits do not create new Starter credits.
Company training pilot and badges
Each workspace currently has one administrator. Starter includes up to 25 employee records and three training modules; Studio includes up to 500 employee records and 30 modules. Each workspace retains up to 3,000 training assignments. CSV sync is an explicit import, rather than a live HR-system connection. Missing employee rows are retained. Training completion is assessed and recorded by your administrator. The pilot does not include a self-service learning portal, automated assessments, SCORM or organizational SSO.
Digital training badge PDFs and A4 print sheets are free for existing issued records and do not consume additional certificate credits. Authorized course leads may upload a signature image for future certificate and badge snapshots. Where the issuer requires recipient acknowledgement, recipients must use a private email link, enter their matching name and consent before a badge becomes available. They may draw an optional signature. Invitations expire after seven days and can be replaced by the issuer. Corrections and withdrawals invalidate the old record’s signing workflow. An acknowledgement records intent through possession of an email link; no independent identity verification, cryptographic PDF signature or particular legal enforceability is promised. Signature images can be copied from downloaded documents. A CohortMark emblem identifies its saved record; it does not establish independent approval, accreditation or tamper-proof paper. Scan the QR code for current status. Dates and validity periods use UTC; a one-day validity includes the completion date and expires at the end of that date.
A physical badge at CAD $5 delivered is a planned offer. Physical ordering and delivery are not available until fulfilment is confirmed; no physical-badge payments are currently collected.
Refunds and cancellation
If you are charged incorrectly or the service does not perform its described core functions, contact [email protected] promptly so we can investigate and provide an appropriate resolution, including a refund where warranted or required. Cancellation stops future renewals and does not by itself reverse an already paid period. Your applicable consumer rights remain.
Service limits and continuity
Batches support up to 100 recipients. Supported certificate fonts cover common Latin, Greek and Cyrillic characters; verify your previews. Notification emails are queued. The launch service sends up to 60 certificate notifications per day across all accounts; larger queues can span days. Downloads remain available immediately. Emails can also be delayed by provider errors or recipient suppression. Provider acceptance is not proof of inbox delivery.
We work to keep the service available but do not provide a contractual uptime guarantee or emergency support. Keep exports of important certificates and records. Existing verification links remain available on Starter under the privacy policy; no indefinite hosting commitment is made. A material discontinuation will be announced where reasonably possible so you can export.
Account closure and changes
You can export your workspace and request account deletion in Settings after cancelling or settling billing. Deletion withdraws existing records and removes their personal data. We may update these terms as the service changes; material changes will be communicated. Continued use after their effective date accepts the updated terms. Nothing here removes rights that cannot lawfully be excluded.
