Start with the issuer’s decision
A certificate should follow your completion requirements. Decide what the record means, which participants qualify, and who is authorized to sign off before importing the roster.
Prepare a clean roster
Keep names in a required name column. An optional email column supports notification. A reference can distinguish participants with identical names; avoid confidential IDs because references can appear on the PDF.
Check the design and long names
Use your organization’s name, a readable course title, an issue date and any applicable expiry. Preview the longest recipient name and course title. Keep signer wording consistent with the actual issuer’s authority.
Issue a snapshot, then preserve it
Download the PDFs and verification-link CSV. If a name changes, issue a corrected replacement and retain a clear status on the original record. A downloadable file is useful; a trustworthy status history makes it more useful.
